Who we are
ClubHive is an event booking and community management platform for sports and community clubs. When this policy refers to “ClubHive”, “we”, “us”, or “our”, it means the ClubHive service and its operators.

Data we collect
Organisers (club owners)
- Account information — name, email address, and a securely hashed password when you create an account.
- Club details — club name, description, public URL slug, brand colour, font, logo, and optionally a custom domain name that you connect to your club page.
- Content you create — event details (titles, locations, dates, capacities) and blog posts you publish on your club page.
Members (event attendees)
- Booking information — name, email address, and optionally a phone number, collected when you RSVP to an event.
- Marketing consent — whether you've agreed to receive future event announcements from the club you're booking with.
Automatically collected
- Usage data — standard web server logs including IP addresses and browser information, retained for security and debugging purposes.
How we use your data
- To provide the ClubHive service — processing RSVPs, managing waitlists, and sending booking confirmations.
- To send transactional emails — booking confirmations, cancellation confirmations, waitlist promotions, event change notifications, welcome emails for new organisers, and email address verification messages.
- To send marketing emails from clubs — only if you explicitly opted in at the point of booking, and only from the club you booked with.
- To let organisers manage their events and attendees via the dashboard.
- To improve the platform — understanding how the service is used in aggregate, with no individual profiling.
We do not sell your data. We do not use your data for advertising.
Data sharing
We share your data only with the third-party services necessary to operate ClubHive:
- Resend — our email delivery provider. Attendee email addresses are passed to Resend solely for the purpose of delivering confirmation emails.
- Neon — our database provider, where all data is stored on servers within the European Union.
- Vercel — our hosting platform. Application requests are processed on Vercel infrastructure.
Club organisers can see the name, email, and phone number of members who have booked their events. They cannot see data for members of other clubs.
Data retention
- Organiser accounts — retained until you delete your account. You can request deletion by contacting us.
- Attendee data — retained for as long as the club that collected it is active on ClubHive. If a club is deleted, its attendee data is deleted with it.
- Booking records — retained to maintain an accurate history for organisers. Cancelled bookings are marked as such rather than deleted, so organisers have a complete record.
Your rights
Depending on where you are located, you may have the following rights under applicable data protection law (including the UK GDPR and EU GDPR):
- Access — request a copy of the personal data we hold about you.
- Correction — ask us to correct inaccurate data.
- Erasure — ask us to delete your personal data, subject to legitimate retention requirements.
- Objection — object to processing based on legitimate interests, including marketing emails.
- Portability — receive your data in a structured, machine-readable format.
To exercise any of these rights, email hello@clubhive.app with your request. We will respond within 30 days.
You can unsubscribe from club marketing emails at any time using the unsubscribe link in any email we send.
Custom domains
Organisers can connect their own domain name to their club page. When you do this, we store your domain name and register it with our hosting provider (Vercel) to issue an SSL certificate and route traffic correctly. Your domain name is not shared with any other third party beyond what is necessary to operate this feature.
Cookies
ClubHive uses a session cookie to keep organisers logged in. No tracking or advertising cookies are used. We do not use third-party analytics scripts.
Changes to this policy
We may update this policy from time to time. The date at the top of this page will always reflect the latest version. Material changes will be communicated to organisers by email.
