Terms of Service

Agreement to these terms

By creating an account or using ClubHive in any way, you agree to these Terms of Service. If you do not agree, do not use the service.

These terms apply to organisers (people who create and manage clubs) and to members (people who RSVP to events). Where terms differ, they are labelled accordingly.

What ClubHive provides

ClubHive is an event booking and community management platform. It allows club organisers to create a public club page, post events, publish blog posts, collect RSVPs from members without requiring members to create accounts, and optionally connect a custom domain to their club page.

We provide the platform. Organisers are responsible for the clubs, events, and content they create on it.

Organiser accounts

  • You must be at least 18 years old to create an organiser account.
  • You must verify your email address before accessing the organiser dashboard. We send a verification link to the address you register with.
  • You are responsible for keeping your login credentials secure. You are responsible for all activity that occurs under your account.
  • Each organiser account is associated with one club. Contact us if your needs are more complex.
  • You must not create accounts for the purpose of misrepresenting your identity or club.

Custom domains

Organisers may connect a custom domain name to their club page. By doing so, you confirm that you own or have the right to use that domain, and you authorise ClubHive to configure DNS routing and SSL certificates for it via our hosting provider. You remain responsible for maintaining your domain registration and DNS records. ClubHive is not liable for any disruption caused by changes to your domain or DNS configuration.

Acceptable use

You agree not to use ClubHive to:

  • Post events or content that is unlawful, fraudulent, harmful, or deceptive.
  • Collect member data for any purpose other than managing the events you post.
  • Send unsolicited communications to members who have not opted in to marketing from your club.
  • Attempt to access or interfere with another club's data or account.
  • Reverse-engineer, scrape, or systematically extract data from the platform.
  • Use the platform in a way that could damage, overload, or impair its operation.

Member RSVPs

Members who RSVP to events provide their name, email, and optionally a phone number. This data is collected on behalf of the organiser of that event. By RSVPing, members consent to the organiser viewing and managing their booking.

Members who opt in to marketing consent to receiving future event announcements from the specific club they booked with. This consent can be withdrawn at any time.

Content

Organisers are solely responsible for the content of their club pages, events, and blog posts. By posting content on ClubHive, you confirm that you have the right to do so and that it does not infringe any third-party rights.

We reserve the right to remove any content or suspend any account that violates these terms or that we reasonably consider harmful, without prior notice.

Availability and changes

We aim to keep ClubHive available and reliable, but we do not guarantee uninterrupted access. We may modify, suspend, or discontinue any part of the service at any time.

We may update these terms from time to time. The updated terms will be posted here with a revised date. Continued use of ClubHive after changes constitutes acceptance of the new terms. We will notify organiser accounts of material changes by email.

Disclaimer of warranties

ClubHive is provided “as is” and “as available”, without warranty of any kind, express or implied. We make no guarantee that the service will be error-free, secure, or meet your specific requirements.

Limitation of liability

To the fullest extent permitted by law, ClubHive and its operators will not be liable for any indirect, incidental, special, consequential, or punitive damages arising from your use of the service — including loss of data, revenue, or goodwill — even if we have been advised of the possibility of such damages.

Our total liability to you for any claim arising from the use of ClubHive will not exceed the amount you paid us in the twelve months prior to the claim, or £100, whichever is greater.

Governing law

These terms are governed by the laws of England and Wales. Any disputes arising from these terms or your use of ClubHive will be subject to the exclusive jurisdiction of the courts of England and Wales.
